Renewr Ltd are registered with the Information Commissioner’s Office (ICO) and is the Data Controller for customer, supplier, employee and website data. Renewr Ltd may act as a Data Processor only where it processes personal data solely on behalf of another organisation under a written agreement.

2. OUR LEGAL GROUNDS FOR HANDLING YOUR PERSONAL DATA
The UK’s data protection laws allow us to use your personal data provided we have a lawful basis to do so. This includes sharing it in certain circumstances, as described below.
We consider we have the following reasons (legal bases) to use your personal data:
- Performance of contract with you: we need to use your personal data to be able to enter into and perform a contract with you.
- Compliance with our legal obligations: we need to use your personal data so as to comply with certain legislation such as financial crime legislation.
- Legitimate interests: these are our business and commercial reasons for using your data, these include operating and improving our business, providing and developing our services, maintaining the security of our systems, preventing fraud, responding to enquiries, managing customer relationships and complying with our legal and regulatory obligations.
- Your consent: we may also use your data when you consent to it. You can withdraw this consent at any time, in which case we will cease to use it, unless we have a right and a need to continue processing it for one of the other reasons set out above.

3. WHAT PERSONAL DATA IS COLLECTED ABOUT YOU AND HOW WE COLLECT IT
We may collect data about you from the following sources:
Data provided by you:
- When you apply for our products and services and throughout the course of our dealings – for example, your name, postal address, email address, IP address, telephone numbers, date of birth, bank account details, equipment requirement details, home ownership details, reason for borrowing, your assets and liabilities, details of your proof of identity documentation, proof of address documentation, evidence of additional equity available and evidence of any other business interests.

We may monitor or record calls with you to check we have carried out your instructions, to resolve queries or disputes, to improve the quality of our service or for regulatory or fraud prevention purposes.
- In writing – for example letters, emails, texts and other electronic communications.
- Online – for example when you use our website.
Data we collect when you use our services:
- Transaction data – for example, what sort of products you are selecting, the length of term, the types of assets you are looking at financing, business type and geographical location
- Payment data – for example, the amount, origin, frequency, history and method of your payments
- Usage and profile data – for example, the profile you create to use our website and mobile app and how you use it. We gather this data from the devices you use, using cookies and other software
Data provided by third parties:
- Information from organisations or individuals who introduce you to us, such as installers, distributors, manufacturers, referral partners, brokers, professional advisers or finance providers.
- Information from credit reference agencies, such as Creditsafe, where necessary to undertake company due diligence, verify business information or support our assessment of potential commercial opportunities. Any formal credit assessment relating to finance applications is carried out by the relevant finance provider.
- Information from fraud prevention agencies to help prevent fraud, money laundering and other financial crime.
- Publicly available information, such as Companies House, the Electoral Register, the Land Registry and other publicly accessible sources where relevant.
- Information provided by your employer or authorised representatives where necessary to provide our services or manage our relationship with you.
- Information provided by your professional advisers, such as solicitors, accountants or other authorised representatives acting on your behalf.
Where we collect personal data from third parties, we will only do so where they are legally permitted to share that information with us and where we have a lawful basis for processing it under UK data protection law.

We may contact you from time to time to request your consent to use your personal data for other purposes. We may also use your personal data for other purposes where required or permitted by law.
When we, and fraud prevention agencies, process your personal data, we do so on the basis that we have a legitimate interest in preventing fraud and money laundering, and to verify identity, in order to protect our business and to comply with laws that apply to us. Such processing is also a contractual requirement of the services or financing you have requested. We, and fraud prevention agencies, may also enable law enforcement agencies to access and use your personal data to detect, investigate and prevent crime. Fraud prevention agencies can hold your personal data for different periods of time, and if you are considered to pose a fraud or money laundering risk, your data can be held for up to six years.
In order to process your application, we may supply your personal information to credit reference agencies (CRAs) in which case they will give us information about you, such as about your financial history. We do this to assess your creditworthiness and product suitability, check your identity, manage your account, trace and recover debts and prevent criminal activity. When CRAs receive a search from us they may place a search footprint on your credit file that may be seen by other lenders and used to assess applications for finance from you and members of your household. The CRA may also share your personal information with other organisations. We may also continue to exchange information about you with CRAs on an ongoing basis, including about your settled accounts and any debts not fully repaid on time. CRAs will share your information with other organisations. Your data will also be linked to the data of your spouse, any joint applicants or other financial associates. We can provide you with the identities of the CRAs and the ways in which they use and share personal information upon your request. We may share your information with our partners, third parties and customer service agencies for research and analysis, so we can monitor and improve the services we provide. We may contact you by post, email or telephone, where appropriate, to ask for your feedback on our services.
We may also contact you occasionally about other goods or services that may interest you.
5. WHEN PERSONAL DATA IS SHARED
We may share your personal data with organisations involved in providing our services, including finance providers, lenders, installers, manufacturers, distributors, referral partners, professional advisers (such as solicitors and accountants) and other organisations where this is necessary to fulfil our contractual obligations or comply with legal or regulatory requirements.
We also use trusted third-party service providers to support our business operations, including IT and cloud service providers, customer relationship management (CRM) providers, lenders, referral partners and professional advisers. Where these organisations process personal data on our behalf, they are required to do so only in accordance with our instructions and applicable data protection laws.
Where appropriate, these organisations may contact you by post, email, telephone or other agreed methods in connection with the services we provide, your enquiry, your application or any agreement relating to our services.
We may also share your personal data with credit reference agencies where appropriate, fraud prevention agencies, regulators, law enforcement agencies, insurers, auditors, professional advisers, and other organisations where we are legally required or permitted to do so. We may also share your information with organisations that you ask us to engage with on your behalf or with finance providers and partners where this is necessary to facilitate the services you have requested.
If, in the future, we sell, transfer or merge all or part of our business or assets, including the acquisition of other businesses, we may share your data with other parties. We will only do this if they agree to keep it safe and private and to only use it in the same ways as set out in this notice.
We take appropriate technical and organisational measures to ensure that any personal data shared with third parties is transferred securely using appropriate methods, such as encrypted email, secure online portals or other protected communication channels. Where you send personal information to us electronically, we encourage you to use secure methods wherever possible.
6. TRANSFER OF PERSONAL DATA OUTSIDE THE UK
We may transfer your personal data to recipients located in countries outside of the UK which may not have data privacy laws equivalent to those in the UK. In those instances, we will take all necessary steps to protect your personal data in accordance with applicable data privacy laws.
7. FRAUD PREVENTION
If we, or a fraud prevention agency, determine that you pose a fraud or money laundering risk, we may refuse to provide the services and financing you have requested or we may stop providing existing services to you. A record of any fraud or money laundering risk will be retained by the fraud prevention agencies, and may result in others refusing to provide services, leasing, financing or employment to you.
If you fail to provide us with data we require, this may delay or prevent us from entering into a contract with you and or complying with our obligations. Depending on the importance of the data, it may mean that we are entitled to terminate an agreement with you.
8. WHAT CHOICES AND RIGHTS YOU HAVE
Under UK data protection law, you have a number of rights in relation to your personal data. These include the right to:
- Request access to the personal data we hold about you.
- Request that inaccurate or incomplete personal data is corrected.
- Request that your personal data is erased in certain circumstances (the “right to be forgotten”).
- Request that we restrict the processing of your personal data in certain circumstances.
- Object to our processing of your personal data where we rely on our legitimate interests or process your data for direct marketing purposes.
- Request that we transfer your personal data to you or another organisation in a structured, commonly used and machine-readable format where applicable (the “right to data portability”).
- Withdraw your consent at any time where we rely on your consent as the lawful basis for processing. This will not affect the lawfulness of any processing carried out before your consent was withdrawn.
You will not usually have to pay a fee to exercise your rights. We will respond to your request without undue delay and, in most cases, within one month of receiving it. If your request is particularly complex or we have received multiple requests from you, this period may be extended where permitted by law.

9. HOW LONG PERSONAL DATA IS KEPT
We will only retain your personal data for as long as is necessary to fulfil the purposes for which it was collected, including to satisfy any legal, regulatory, accounting or reporting requirements.
As a guide, we will normally retain personal data for the following periods:
- Customer records: Up to 6 years after our contractual relationship ends.
- Prospective customer enquiries and unsuccessful applications: Up to 12 months after our last meaningful contact, unless a longer retention period is required by law.
- Supplier and business contact records: Up to 6 years after the end of the business relationship.
- Marketing records: Until you withdraw your consent or object to receiving marketing communications, after which we will retain limited information to ensure your preferences are respected.
- Website and cookie information: Retained in accordance with our Cookies Policy and the retention periods applicable to the analytics or cookie technologies used.
In some circumstances, we may retain personal data for longer where this is necessary to comply with legal or regulatory obligations, resolve disputes, establish, exercise or defend legal claims, or protect our legitimate business interests. When personal data is no longer required, we will securely delete or anonymise it in accordance with our data retention procedures.

We may monitor and or record phone calls to ensure that we have carried out your instructions correctly, to resolve queries and complaints, for regulatory purposes, to help detect or prevent fraud or other crimes, improve service and to help monitor and train our staff.
Our lawful reason for this under data protection law is our legitimate interests or in some cases compliance with legal obligations.
